To back up Deputy data, export the records yourself or keep a read-only copy your business owns. Inside Deputy, you export approved timesheets, the schedule you are looking at, and active team members. Deputy’s Data Exporter saves one data source at a time as a CSV, and Deputy’s help says to use that tool only if you are leaving. TradieBridge is read-only data backup software that keeps a copy of your Deputy records, with Simpro, Xero and the other systems you connect.
Export it yourself from Deputy
Deputy’s own help exports one area at a time. Each file is a snapshot of the moment you download it. The steps below are the ones Deputy publishes for timesheets, the schedule, and team members. What TradieBridge keeps from Deputy is the shorter page.
Timesheets
Deputy’s timesheet article is written for location managers and system administrators. The published steps start once timesheets are approved.
- Approve the timesheets.
- Click Timesheet, then Export Timesheets.
- Use the location selector to choose one location, or all locations.
- Use the date selector. Deputy lists one day, a week, a fortnight, a month, or a date range you choose.
- Click the team members you want, or click Select all.
- Click Export Selected Items.
- Choose the format, then click Export. For a file, you can name it before you download it.
Deputy lists many payroll formats, including CSV/Excel. For a spreadsheet of every published column, choose CSV/EXCEL - All fields, name the file if you want, click Export, then Download. Each timesheet is one row. Exporting timesheets from Deputy. CSV/Excel: All Fields.
The schedule
Deputy exports the shifts you can see on the Schedule tab. Set the view first, or the file is only that view.
- On the Schedule tab, set the location, the dates, and the view: day, week, two weeks or month, by area or by team member.
- Click Options, then Export Schedule.
- Set the format to CSV or JSON, then click Export.
Options, then Print Schedule, saves PDF or Excel. The Excel print can include leave. CSV is a list of the scheduled shifts in that view. Printing your schedule.
Team members
Deputy’s bulk update download is for a system administrator. It exports team members who are active. Archived team members are left out of this file. Deputy points you to the Data Exporter for an archived history.
- On the People page, click Add People, then Bulk import and update.
- Click Update team members, then Download.
- Choose CSV or Excel (XLSX).
Bulk import or bulk update team member data.
What those exports cover, and what they leave out
A timesheet export is the approved timesheets for the locations, dates and people you selected, in a payroll format or as CSV/Excel. Deputy’s help says salaried team members’ timesheets do not export. In the CSV/Excel All Fields file, paid rest breaks do not get exported. The meal break column is the unpaid meal break. Custom timesheet fields, where you have set them up, are extra columns. There is no currency sign on the cost.
A schedule export is the shifts in the view you had open, as CSV or JSON, or as PDF or Excel if you print. It is that period, not a separate file of every shift the account has ever held, unless you set the view to that period first.
The people download is active team members, as CSV or Excel. Deputy’s leave FAQ says a Leave report is one of the reports in Deputy Analytics. That article does not publish click-by-click export steps. Leave Management FAQs.
Deputy’s Data Exporter
Deputy’s help describes two ways to export or download your data: the Deputy Data Exporter, and the Deputy API. Deputy says to use these tools to export only if you are leaving Deputy. The export and import formats do not match, so this is not the tool for editing a file and importing it again. For that, Deputy points you to its bulk import tools.
You need system administrator access. The exporter saves one data source as a CSV.
- Open Deputy’s exporter and click Connect with Deputy.
- Log in, select the organisation, and click Authorize.
- Select one data source, a date window (records after one date and created before another), an employee or all employees, and a location or all locations. You can include history with a version tag.
- Click Start Export. Deputy emails the CSV to the system administrator who logged in.
- Open the email, click the link, save the CSV, and open it in Excel.
Deputy publishes these data sources, one per export:
- Address
- Company
- Contact
- CustomFieldData
- Comment
- Employee
- EmployeeAgreement
- EmployeeAgreementHistory
- EmployeeAppraisal
- EmployeeAvailability
- EmployeeHistory
- EmployeeRole
- EmployeeWorkplace
- EmploymentCondition
- EmploymentContract
- Event
- Geo
- Journal
- Leave
- LeaveAccrual
- LeaveRules
- Memo
- OperationalUnit
- PayRules
- PublicHoliday
- Roster
- SalesData
- SystemUsageTracking
- SmsLog
- Task
- Timesheet
- TimesheetPayReturn
- TrainingModule
- Training Record
That published list has no file or attachment source. Each export is one source, for the dates, people and locations you set, emailed as a CSV.
If the export is more complicated and you have an IT team, Deputy’s same article says you can use the Deputy API to export the data you need. You then own the code, the rate limits and the place the copy is stored.
Does Deputy back up your data for you?
Deputy’s security page says backups are carried out through the automatic backup capabilities of AWS RDS, and that data in storage, including backups, is encrypted with AES-256. Those backups are for Deputy’s service. They are not a file you can open, search or download.
Deputy’s subscription agreement says that if you ask within 30 days before the agreement ends, Deputy will make customer data available for export or download as set out in its documentation. If you do not ask in that window, Deputy has no obligation to keep or provide the data, and it may delete or destroy all copies when the agreement ends, unless the law prohibits that. Data entered on a Deputy free trial is lost when the trial ends, unless you buy a subscription to the same services or export the data before the trial ends.
Deputy Payroll for US customers is separate. Deputy’s product-specific terms say that after those payroll services end you have 60 days to extract data from Paycor, if amounts owed are paid and any data access fee Paycor requires is paid. After that, Deputy and Paycor have no obligation to keep the data, and it may be deleted under Paycor’s retention policies.
Four ways to keep a copy
1. Manual export
The timesheet, schedule and team-member exports above use only Deputy. You run each one. The file is a snapshot of that moment, and a full set is many files. Salaried timesheets, paid rest breaks in the all-fields CSV, and archived people in the team-member download are left out, as Deputy’s help describes.
2. Deputy Data Exporter
One CSV per data source, emailed to a system administrator. Deputy’s help says to use it if you are leaving. You choose the source, the dates, the people and the locations. The published source list has no file or attachment source.
3. Your own code on the Deputy API
Deputy’s export article says an IT team can use the Deputy API when the export is more complicated. You decide what is read and where it is stored. You also keep the code running when the API changes.
4. TradieBridge
TradieBridge is data backup software for Australian trade businesses. It backs up Deputy into a copy your business owns, joined with Simpro, Xero, Employment Hero, Verizon Connect, The Fleet Office and the other systems you connect. Claude, ChatGPT, Copilot or any MCP assistant can answer questions about that copy. Connect your AI with one link.
You approve a Deputy sign-in. TradieBridge is read-only. It only reads, through Deputy’s official API, and it never writes to Deputy. It copies 59 Deputy resources, including timesheets, rosters, staff, leave and pay rules. A timesheet or roster removed in Deputy stays in the copy TradieBridge already holds. Attachment files are not included.
The same copy exports as JSON, CSV or a Postgres database. See every Deputy table TradieBridge holds. The Deputy page is the short version.
A$49 + GST a month, or A$499 + GST a year, with a 7-day free trial. You add a card to start. One price covers Deputy and every other system you connect. Pricing.

The limits below are the ones Deputy publishes in the help articles and terms linked above. Deputy’s help pages do not list a separate price for the manual exports or the Data Exporter.
